Position Summary
The Manager, Administrative Systems is responsible for the strategic leadership, operational management, and continuous optimization of Phoenix Children’s enterprise administrative systems portfolio. This role has primary accountability for the ERP platform, Workday, while also overseeing a broad ecosystem of non-ERP systems that support critical business functions across the organization. The position serves a diverse customer base that includes Human Resources, Finance, Supply Chain, Marketing, PCCN, BioMed, Security, the Foundation, Gift Shop operations, and other administrative and departmental partners. The Manager ensures these systems are reliable, secure, integrated, and aligned to business needs, while delivering high-quality customer service and scalable solutions. This role provides people leadership, production support oversight, and project delivery accountability across both ERP and non-ERP systems. Working closely with business leaders, vendors, and IT peers, the Manager drives system stability, standardization, and continuous improvement to support Phoenix Children’s mission and enterprise strategy.
Position Duties

Leads and Manages ERP (Workday) Platform
Provides business and operational leadership for the Workday ERP platform supporting Human Capital Management (HCM), Finance, Payroll, and Supply Chain, ensuring alignment with enterprise business needs. Develops and oversees the ERP strategy, roadmap, and governance, serving as the primary liaison between IT and functional leaders to deliver scalable, compliant Workday solutions. Drives efficient, reliable, and data-informed service delivery through reporting and analytics; oversees releases, upgrades, security, integrations, and configuration changes to ensure system stability, data integrity, and audit readiness; establishes ERP policies, procedures, and controls to meet regulatory requirements; evaluates functionality to prioritize enhancements; serves as an executive escalation point for complex ERP issues in partnership with vendors and consultants; and participates in ERP governance, investment planning, and enterprise prioritization forums -
Manages the Administrative Systems Team (Non-ERP Systems)
Leads, coaches, and develops a team supporting non-ERP administrative systems across the organization, ensuring the right staffing levels and skill mix to meet the needs of a diverse application portfolio serving Marketing, PCCN, Finance, Supply Chain, BioMed, Security, the Gift Shop, the Foundation, Human Resources, and other business units. Recruits, hires, trains, and retains staff with strong customer service, application support, and technical capabilities, while establishing clear performance goals and expectations aligned with operational excellence and customer satisfaction. Provides ongoing leadership through regular one-on-one meetings, performance reviews, and development planning; prioritizes and allocates resources across production support, system enhancements, and project initiatives; communicates organizational and IT updates consistently; and ensures accountability, high-quality work product, collaboration, and adherence to policies and standards. -
Leads and Coordinates Administrative Systems Production Support, Projects, and Implementations
Oversees production support and project delivery for a broad portfolio of administrative and departmental systems outside of ERP, ensuring reliable operations and high-quality customer service. Manages routine maintenance, upgrades, configurations, custom development, and ticket resolution while working closely with customers to anticipate needs, prioritize enhancements, and plan system changes. Serves as the primary point of contact with vendors for system-related issues and support coordination; develops and maintains system documentation, standard operating procedures, and service level agreements; and diagnoses and resolves complex issues in partnership with internal teams and external vendors. Leads and supports system implementations and enhancements, acting as a change agent to drive adoption of new technologies and process improvements. Identifies and documents legacy systems and integrations, translates business requirements into functional and technical specifications, and develops project plans, timelines, resource estimates, and status reporting. Manages multiple priorities and competing deadlines to ensure initiatives are delivered on time, within scope, budget, and quality expectations, in alignment with Project Management Office methodologies. -
