Position Summary
Posting Note: Phoenix Children’s is seeking an experienced, highly organized, and discreet Executive Assistant to support the President and CEO of Phoenix Children’s. This role provides high-level administrative support in a fast-paced, mission-driven environment, requiring exceptional communication skills, sound judgment, and meticulous attention to detail. The ideal candidate will be proactive, adaptable, and able to manage complex scheduling, correspondence, and strategic priorities with the utmost professionalism.

This position provides executive administrative support to the President and CEO through management, coordination and administration of the functions, activities, and information necessary to ensure optimal operational efficiency and effectiveness.
Position Duties

Independently manages President & CEO’s calendar activities by prioritizing and arranging projects, appointments, and events to ensure optimal use of time.

Initiates and coordinates requests for travel and seminars; arranges required transportation, lodging, and associated expense items in accordance with established policy.

Under the direction of the President & CEO manages relationships with Board of Directors, major donors, physicians, and community leaders and ensures timely response to inquiries and issues for enhancing awareness and support of hospital's mission, goals, and objectives.

Reviews Board agenda, organizes and distributes Board Packet to members to ensure timely, accurate, and thorough Board preparation for optimal effectiveness; performs follow up of identified items and/or issues as appropriate.

Partners closely with President & CEO’s Project Manager to prepare agendas, assemble and organize materials, including performing necessary follow up actions, initiating reminders.

Plans, organizes, and maintains all records, materials, references, and correspondence for department(s) to ensure ready reliable access and provision of information to all inquiries.

Prepares a variety of correspondence, reports, and manuals. Initiates responses to inquiries within delegated authority; refers to appropriate party(s) to provide timely and accurate information.

Records and transcribes minutes of meetings/presentations to various internal and external audiences, committees, and Boards to ensure thorough preparation, organization, and documentation of activities and outcomes.

Proactively identifies opportunities for follow up and/or meetings with key constituencies to provide for increased understanding, awareness, and support for ongoing and/or new projects, activities, initiatives, and programs.

Performs miscellaneous job related duties as requested.
