Position Summary

The Specialty Pharmacy Technician serves as a primary source of communication with patients, insurance payers, patient support foundations, physician and clinic offices, Specialty Pharmacy Liaisons, drug distributors, and manufacturers. This position assists patients with access to resources to lessen the impact of the specialty drug therapy socially and economically. This position represents the Specialty Pharmacy during initial phone contact by providing patients, patient families, insurance providers, physicians and other providers, clinic and office staff with information pertaining to the filling, processing, reimbursement, payment, and assistance with the provision of specialty pharmaceuticals. This position also handles the technical dispensing duties within the specialty pharmacy and provides support under the supervision of the Specialty Pharmacy Supervisor, ensuring optimal pharmaceutical care. This position reports to the Supervisor of Specialty Pharmacy Services.

Position Duties

  1. Patient Intake, Communication, and Record Keeping
    • Answers incoming calls and correspondence regarding prescriptions, new patients, transfer patients, information calls, patient assistance, and access based on needs and an immediate assessment.
    • Completes patient screening and gathers required information while maintaining patient confidentiality and providing each caller with efficient and excellent customer service.
    • Maintains and updates registration and insurance information, verifies and updates patient’s health, allergies, demographic, and other pertinent information with every applicable call.
    • Answers patient questions and under the guidance of the pharmacist, provides educational materials.
    • Refers all clinical questions regarding prescriptions, drug information, or health matters to a pharmacist.
  2. Insurance Billing, Third-Party Audit Support, Accreditation and Regulatory Compliance
    • Navigates insurance plans and accurately bills the appropriate insurance. Includes coordination of benefits with more than one payer, understanding override codes and manual billing.
    • Actively assists with completion of third-party and Medicare claims audits.
    • Performs reconciliation and maintains required level of documentation to ensure compliance with regulations, accreditation, and contractual requirements.
  3. Gathers Data, Assists with Financial Reports
    • Performs daily audits, gathers, and documents productivity and sales data used for creation of “Month End” and other required financial reports.
  4. Medication Preparation
    • Assists in accurately preparing and labeling specialty medications in accordance with Arizona Board of Pharmacy statutes and rules, and department policy as required to support business needs.
    • Verifies accuracy under the supervision of a Pharmacist prior to dispensing and delivery in accordance with scope of practice and department procedure. Defers to supervising pharmacist when appropriate.
    • Packages and prepares medication orders for delivery to patient home or clinic staff for administration in clinic.
  5. Non-sterile Compounding
    • Performs non-sterile compounding of both non-hazardous and hazardous medications per department policy, USP 795 standards, USP 800 standards, Arizona Board of Pharmacy Rules and Regulations and all other applicable regulatory agencies.
    • Accurately completes all compounding records and quality assurance documentation.
    • Ensures that all interim compounding checks and final product verification is performed by a pharmacist.
  6. Inventory Management
    • Places orders as required to support maintenance of established inventory levels of specialty medications and supplies.
    • Assists with receipt and stocking of medications and supplies from vendors and manufacturers.
    • Rotates pharmacy inventory and ensures that expired medications and supplies are removed prior to stated expiration date.
    • Reconciles and maintains documentation for medication sales or transfers as required by the Arizona Board of Pharmacy.
  7. Quality Assurance
    • Collects, organizes, and evaluates data and information to assist the Specialty Pharmacy Supervisor to proactively identify factors that may affect patient safety, service, quality of care, accreditation, and regulatory compliance.
    • Assists in setting goals for quality assurance and best practices.
    • Verifies accuracy of billing, financial transactions, and documentation to ensure compliance with business best practices and state and federal regulations.
    • Ensures compliance with professional and patient confidentiality standards and requirements.
  8. Department Requirements
    • Participates in a variety of department process improvement initiatives, in-service and education programs, and meetings to maintain ongoing competency and awareness of best practices, methods, and techniques.
    • Utilizes departmental training to serve as a trainer for new staff as requested.
  9. Performs miscellaneous job related duties as requested.
