Position Summary
The Operations Specialist serves as a system-level position supporting Patient Logistics through comprehensive project management, data analysis, and operational coordination. This role is responsible for planning, executing, analyzing, finalizing, and delivering reports related to new and existing projects that support admissions, throughput, and transfer initiatives across the healthcare system.
Position Duties

Develops, maintains and supports the development of business solutions for internal and external clients
1. In collaboration with department leadership works across the health system to develop annual goals, objectives, and KPI’s for system-level initiatives.
2. Creates and maintains scorecards and tracking tools to monitor KPI performance and system-wide admissions, transfers, and throughput goals.

4. Ensures that project deliverables are on time, within budget (if applicable), and at the required level of quality.
5. Reviews project schedules and progress with department leadership, relevant stakeholders and leaders affected by project activities. -
Maintains, analyzes & interprets financial, throughput, operational, and business data
1. Identifies trends, anomalies, and benchmarks in operational data, including admissions, throughput and transfer data, through comparative analysis using multiple data sources to derive actionable insights.
2. Assists leadership in business planning and proforma development for operational, capital, and/or labor initiatives; provides insights for growth in services, revenue, and profitability.
3. Supports budget preparations for all cost centers.
4. Develops and maintains intuitive dashboards, reports, and presentations using software such as Transfer Center, Teletracking, as well as tools like Excel, SQL or Power BI, to effectively communicate findings to stakeholders, including senior leadership, physicians, and network partners.
5. Proactively identifies data anomalies and trends observed in summarized business and financial data; independently benchmarks data from different sources to determine operational, financial and quality metrics.
6. Develops core departmental reports and ad-hoc analysis as needed. -
Serves as customer's primary point of analytic contact.
1. Meets customers’ analytical needs directly or by coordinating support through data analytics team while maintaining final responsibility for results.
2. Troubleshoots issues with the clinicians and leaders, as well as vendors, building strong relationships across all stakeholder groups.
3. Manages data communications to system-wide stakeholders, serving as primary contact for admissions, throughput and transfer data requests, while establishing a communication schedule and providing excellent customer service with accuracy and completeness.
4. Functions as a strategic partner by understanding operations, financial drivers, and business plans. -
Effectively communicates relevant project information and status updates to internal and external stakeholders.
1. Develops and delivers progress reports, requirements documentation, graphs, analytics, maps, and presentation slides.
2. Establishes communication schedules for stakeholders regarding project progress and owns the communication and execution of deliverables. -
Support quality improvement activities for strategic initiatives.
1. Serves as a business resource for the Patient Logistics service line.
2. Works with key stakeholders to understand, document, and respond to data requests to meet project reporting and analytic needs. -
Performs miscellaneous job related duties as requested.
