Position Summary
The Grants & Programs Specialist provides direct oversight of all reporting and database systems related to the Injury Prevention Program. This role oversees the lifecycle of grant administration— ensuring timely, accurate reporting and deliverables to all grant funders. Under the supervision of the Manager of Injury Prevention, this position collaborates with internal leadership, Grants Accounting/Foundation, governmental agencies, funders, and community stakeholders to ensure fiscal accountability, and delivers measurable impact. The Grants & Programs Specialist develops, customizes, maintains, and administers multiple program databases, builds dashboards, and conducts data quality controls. In addition, this role coordinates, plans, and implements special events throughout the health system and community.
Position Duties

Grants, Budgeting and Compliance
- Reconciles monthly grant funding and expenditures for the department. Creates grant reports in collaboration with Grants Accounting, Injury Prevention Program Manager and Foundation.
- Aids in tracking and updating annual operational budget.
- Monitors key components of the program budget and effectively proposes cost effective solutions to program spending. Contributes to the development of proposals for funding.
- Prepares, codes and tracks requests for payments to ensure proper accounting of funds in accordance with budget.
-Maintains inventory levels of standard event supplies and materials, initiating requests as appropriate. -
Program Evaluation and Analysis
- Builds evaluation plans with impact, outcome assessments and measures for injury prevention interventions.
- Utilizes evaluation to recommend program improvement activities and strategies.
- Collects and analyzes injury prevention program data, using, Smartsheet, Excel, Strata and other hospital program databases. -
Event & Internship Management
- Plans and executes special events within the health system, manages logistics, event coordination, and post-event reporting.
- Coordinates and manages the Injury Prevention Internship Program, including recruitment, onboarding, schedules, and supervision. -
Professional Development & Staff Mentorship
- Maintains current knowledge in grants management, evaluation methods, and relevant regulations; mentors staff on data literacy and data analysis for grant reporting.
- Seeks and takes advantage of opportunities to enhance own professional growth and development. -
Clinical & Educational Consults
- Provides patient/family consults and evidence-based injury prevention education.
- Collaborates with clinical staff to coordinate education.
- Documents patient consultation in the medical record. -
Performs miscellaneous job related duties as requested.
