Position Summary

The Pharmacy Buyer primarily supports the purchasing of medications and medication-related supplies to support medication management practices throughout all Phoenix Children’s sites of care. This role collaborates with hospital, ambulatory, and pharmacy colleagues to ensure medications are procured in a timely and compliant manner. The Pharmacy Buyer also interacts with pharmacy vendors to establish accounts, review purchasing metrics and trends, and identify opportunities for cost savings. The Pharmacy Buyer receives supervision of work activities from departmental pharmacy leaders; this role does not supervise any other position.

Position Duties

  • Places daily orders for medications and medication-related supplies for all Phoenix Children’s sites of care
    a. Utilizes internal and external systems to determine ordering needs from appropriate wholesalers, manufacturers, and other contracted vendors for the consistent and timely arrival of products to support patient care
    b. Actively purchases using the wholesale information system, Phoenix Children’s purchasing system, and 340B split billing software as required by vendor and department instruction in addition to regulatory compliance. Actively serves as the purchasing expert for all related systems for purchasing and inventory management.
    c. Appropriately places and manages backorders for medications not available with wholesale partners.
    d. Assists departmental leaders to continuously monitoring medication and medication-related supply inventory levels. Provides inventory par-level recommendations based upon utilization and expiration patterns. Monitors compliance with the utilization of perpetual inventory software by pharmacy staff.
    e. Arranges for the acquisition of urgent or emergent products as directed by pharmacy leaders or other personnel.
  • Collaborates throughout the various pharmacy departments to support the identification of medication shortages. Supports the development of contingency planning and communication throughout the organization to ensure key stakeholders are engaged and apprised to changes in product availability.
  • Proactively suggests and initiates recommendations for alternative product selections and/or increased efficiencies to reduce operating expenses through reduction in prices and maximizing contract and 340B savings.
  • Proactively notifies departmental staff and leadership of problems and/or issues pertaining to pharmaceutical products inventory or acquisition or contract deviations; coordinates and oversees notices, removal, and processing of all recalled products from Pharmacy and patient care areas.
  • Effectively communicates related to product availability and serves as the first level liaison between Pharmacy Staff, pharmaceutical vendors, wholesalers, and group purchasing organizations to assist in timely delivery of product information. Works closely and in conjunction with pharmacy leaders, pharmacy staff, and non-pharmacy colleagues to establish inventory level standards to ensure continuously availability of items.
  • In conjunction with pharmacy or ambulatory clinic leadership, supports the maintenance of appropriate documentation and/or copies of all purchase orders and corresponding records/receipts of controlled substances to ensure compliance with the Drug Supply Chain Security Act (DSCSA)Arizona State Board of Pharmacy and Federal (DEA, FDA, CMS) licensing, and accrediting regulations and requirements.
  • Actively and accurately maintains GPO, 340B and WAC contract purchasing at expected levels of > 95% and provides wholesaler and direct vendor purchasing reports as requested by pharmacy department leaders. Provides purchasing history by vendor including purchase price, quantities ordered, and total expenditures to pharmacy leaders as requested.
  • Performs miscellaneous job related duties as requested.
