Position Summary

The Department Coordinator is responsible for day of surgical scheduling, answering in-coming phone calls, and coordinating communications for Rosenberg outpatient surgery center. They work closely with the Clinical Supervisors, PARS, Scheduling and staff to facilitate smooth daily operations

Position Duties

  1. Coordinates communications for the surgery center.
    • Answers all incoming calls, assesses nature/urgency and determines the appropriate triage of the call.
    • Maintains courtesy and professionalism during urgent situations.
    • Anticipates problems, critical issues and acts accordingly.
    • Updates O.R. board/Surgery schedule for same day add-ons/cancellations
    • Updates Surgeons/Anesthesia related to any schedule’s changes.
  2. Schedules same day urgent/emergent procedures
    • Receives via phone and in person surgical requests.
    • Processes and schedules surgical cases according to requests.
    • Process any same day cancellation cases according to requests.
    • Adjusts scheduling grid to reflect updated surgery schedule.
  3. Provides support to other staff as needed
    • Works effectively in team environment.
    • Handles sensitive information and confidential matters with a high degree of discretion.
    • Manages Scrub Ex and day lockers.
    • Screens visitors for proper ID and paperwork.
    • Places repair orders.
    • Manage and obtain necessary documentation for COVID results.
    • Handles Infection control complication forms and tracks results monthly
    • Scans audits/logs/reports monthly into the K-drive for tracking purposes
  4. Accomplishes necessary tasks in an organized and systematic manner
    • Maintains knowledge of current policies.
    • Maintains inventory of forms and office supplies.
    • Makes changes to next day’s final O.R. schedule.
    • Responsible for assisting and relaying patient information for admission bed requests.
    • Coordinates inpatient procedures being performed in Main Hospital following outpatient procedure.
    • Assemble and break down patient charts daily
    • Coordinates transporting charts to Preop from PAR once registration is complete.
    • Discharge patients in SCM upon discharge from PACU
  5. Assists in room turnover
    • Cleans, sanitizes, and disinfects procedure rooms/PACU in accordance with established procedures for room turnover between procedures to ensure efficiency and availability to meet physician, department, and patient needs.
  6. Assists with Patient discharge/Family
    • Transports patient to vehicle upon discharge.
    • Coordinates bringing family to bedside/discharges.
  7. Participates in re-stocking
    • Participates in re-stocking and re-supplying of all Preop/PACU/OR to provide for efficient, effective, and safe department operations.
  8. Performs miscellaneous job related duties as requested.
