Position Summary

The Planning, Design, and Construction (PDC) Administrator organizes and coordinates office operations and procedures, provides project coordination, and supports the Vice President, Planning, Design, and Construction and the other team members on the construction team. This position organizes schedules, manages deadlines, pays close attention to details and exhibits professional customer service skills to internal and external visitors.

Position Duties

  • Serves as a Project Coordinator in the Planning, Design, and Construction department.
    1. Works with architects, general contractors, and suppliers to address issues on service warranties as it pertains to equipment specifications under the direction of management team members.
    2. Assists with scheduling jobs, coordinating staff to work location(s), and obtaining proper permits and licenses.
    3. Arranges and schedules a variety of meetings including, but not limited to, those with outside companies, the city, and the state. Initiates and responds to requests for scheduled time, maintains current and accurate calendars for the VP, Planning, Design, Construction and department staff to ensure efficient scheduling, minimizes conflicts and ensures deliverables.
    4. Prepares agendas, assembles and organizes materials, performs necessary follow-up actions, initiates reminders and records/transcribes minutes of meetings and/or presentations to various internal and external audiences, committees and Boards to ensure the thorough preparation, organization and documentation of activities and outcomes
  • Accounting and Budget Responsibilities
    1. Processes all invoices related to projects that are assigned to the Sr. Project Managers-Planning, Design, & Construction.
    2. Manages the accounts payable process, including invoice tracking, distribution, and review.
    3. Assigns and tracks expenses with the appropriate project through the PCH PDC Scorecard and SBAR Processes.
    4. Obtains Sr. Project Manager – PDC approval’s on monthly progress billings, change orders and project specific invoices and resolves any discrepancies.
  • Ensures that contract terms, manuals, directories, references and other records are up-to-date. Is highly proficient in financial processes including Moss Adams invoicing process and the eRequest System. Purges outdated information and archives in-house as necessary. Maintains computerized data files and monitors access, retrieval and back-up.
  • Handles sensitive, confidential, proprietary information, and highly confidential business matters with a high degree of discretion.
  • Plans, creates and coordinates executive-level communications and presentations by utilizing advanced Word, PowerPoint and Excel.
  • Utilizes multiple software solutions to aid in project management in coordination with assigned FCMs.
  • Maintains updated information in construction project management software solution with the various general contractors, architects, and consultants. Is the liaison with PCH Strategic Planning staff and Transwestern Real Estate regarding lease, rent, and real estate agreements, proposals, and documents.
  • Provides suggestions for new methods of working for improved effectiveness and efficiency. Anticipates problems, critical issues and/or opportunities and acts accordingly.
  • Performs miscellaneous job related duties as requested.
