Position Summary

This position is responsible for managing the Family Finance Business Office operations including Customer Service and aligning/coordinating functions related to Family Finance across the PCH enterprise. This position is a primary contributor to the development and implementation of a comprehensive program designed to ensure the patient/family financial experience from end-to-end is positive, family-centered, accessible and accurate. This position also oversees all processes/functions, including those performed by vendor partner(s), related to family billing, statements and collection of guarantor liability. Serves as a subject matter expert in Family Finance and serves as a resource to ensure consistency in philosophy and approach throughout the organization.

Position Duties

  1. Leadership/Management
    • Partners with the Director, Family Finance & Care Management to develop strategy for assigned departments and functions. Participates in development of and implements policies and procedures and appropriate metrics. Monitors KPIs, qualitative and quantitative performance metrics to ensure achievement of targeted family satisfaction, financial and non-financial goals.
    • Manages and evaluates effectiveness and efficiency of all assigned operations, including, but not limited to Family Finance Business Office/Customer Service implementing controls and reviewing mechanisms for all associated processes.
    • Manages day to day operations ensuring compliance with regulatory and legal requirements, quality standards, and which meets or exceeds community standards of care.
    • Manages the budget process for assigned departments with subsequent management to the operating budget
    • Reviews various financial operational reports to identify and monitor trends, activity and report changes. Implements appropriate action plans to modify results in accordance with required outcomes.
    • Participates in the management of overall performance of systems and related automated applications in areas of responsibility. Participates in the evaluation of new technology to enhance the processes.
    • Manages relationships and monitors performance with outside vendors working on behalf of assigned areas.
    • Ensures processes are compliant with EMTALA and other regulatory requirements.
  2. Subject Matter Expertise
    • Serves as an expert resource to others utilizing advanced knowledge of the impact of revenue cycle processes on family cost sharing/liability.
    • Assesses the impact of proposed processes, pricing, service delivery changes on family cost sharing/liability, informing constituents of the impact as decisions are being made.
    • Actively participates in review of revenue cycle processes affecting families’ cost sharing/liability, and makes recommendations as needed.
    • Oversees processes and performance of vendor partners related to Family Finance to ensure approach is consistent with PCH customer service expectations, and approved policies and practices.
  3. Customer Service / Family Experience
    • Serves as a role model for Customer Service for both internal and external customers.
    • Leads development and implementation of components required to create and maintain a stellar patient/family experience in all financial functions. Serves as the “go to” person for all matters related to patient/family experience in financial functions.
    • Builds and maintains excellent physician relationships through a proactive customer service-oriented approach.
    • Collaborates with others throughout the organization to ensure Family Finance customer service approach aligns with related efforts whenever possible.
    • Participates in professional development as needed, and reviews related reports and trends on customer service experience to drive continuous improvement.
    • Collaborates closely with Managed Care, Revenue Cycle, Case Management, Social Work, HIM, IT and PCMG. Works on joint teams to solve complex, interdepartmental issues.
  4. Staff Development/Growth and Retention
    • Recognizes the criticality of retention to the organization’s success, prioritizes communication, visibility, and connection with staff, developing and implementing a systemic approach to ensure this connection
    • Makes growth and development a priority by facilitating the accurate assessment of learning needs, styles, and barriers to training of staff and coordinating training opportunities.
    • Utilizes available reporting to consistently monitor turnover/retention and quickly takes action as needed to address issues.
  5. Innovation and Growth
    • Evaluates the impact on family financial liability of policies, procedures and practices related to Family Finance throughout the organization. Recommends improvements and facilitates implementation.
    • Participates in the development of business plans and project plans in related areas. Effectively manages projects to ensure timely achievement of objectives.
    • Builds practices and processes that are both replicable and scalable to effectively enable growth.
    • Develops expertise in use of IT systems to enable Family Finance processes and participates in evaluation of new technology to enhance processes, while working closely with the department Director.
  6. Performs miscellaneous job related duties as requested.
