Position Summary

This position is responsible for supervising the assigned Health Information departmental staff, including all satellite clinics and external HIM interns. Organizing the work flow and staff coverage on a daily basis. Interview, recommend for hire, and follow through with disciplinary action holding employees accountable according to department standards. Cultivate a shared vision for the department that is consistent with the organization`s vision and strategic initiatives by communicating and implementing department plans. Responsible to maintain a hybrid legal record system for active and inactive records, which includes paper and electronic records. Responsible for the efficient and timely coordination of the health records and data entry processes. Fully understands Medical Staff, HIM, Regulatory, and HIPAA related policies. Represents HIM in a professional and educated manner when meeting with internal and external partners. Create and develop process improvement activities to improve productivity and reduce errors. Support the HIM management team by keeping leadership aware of staffs concerns and focus on employee survey annual action plans. Assist and back-up other HIM supervisor, as required

Position Duties

  1. SUPERVISE
    • Assists management by selecting candidates to interviews, preparing pertinent questions, and selecting most qualified candidates for hiring.
    • Provides ongoing performance improvement education and support to staff. Prepares and participates in one-on-one meetings with their manager, director, or staff. Provides training, support, and guidance to Leads and will provide coverage in their absence. Conducts employee performance reviews, counsels and provides disciplinary action; in conjunction with the facilities Human Resources guidelines. Provides feedback to employees regarding their performance regularly and documents results on employee performance reviews. Promotes and participates in employee survey corrective action plans to improve future results and employee satisfaction. Assists employees to enhance their skill level and provide opportunities for advancement. Responsible to edit, review and approve timecards
  2. QUALITY AND PRODUCTION MONITORING
    • Monitors daily departmental activities to ensure compliance with federal, state, and other regulatory agency requirements. Prepares for meetings, team huddles, and physician orientation by timely preparing the agenda and presentation materials. Leads team huddles with departmental updates and changes that will directly impact the staffs work activities. Monitors and analyzes performance and productivity of employees to assure goals are met. Monitors work flow by effectively managing and organizing staff to meet turnaround times and project deadlines. Acts as a resource throughout the organization on Health Information Management and as a liaison between the Health Information Management department and internal/external stakeholders. Audit external HIM service vendors (ROI, Record Storage, and Transcription) to ensure they maintain contractual agreements and report variances as presented
  3. KNOWLEDGE OF PERTINENT GUIDELINES/POLICIES/SYSTEM MAINTENANCE
    • Maintains up-to-date knowledge of policies, State & Federal laws and regulations governing disclosure of protected health information. Assists in development, maintenance and communication of policies and procedures and training materials relating to the disclosure of PHI. Maintains full knowledge and understanding of the HIM applications including assisting in development and testing of any new or upgraded computer system, interface, and other associated improvements and resolution of system issues and problems.
    • Assists manager with quality, service and budgetary initiatives. Assists in collecting, reporting and analyzing performance improvement and other data as needed along with consulting with the manager to enhance department performance. Assists in the planning of in-service education and department meetings.
  4. GENERAL HIM DEPARTMENT REQUIREMENTS
    • Adheres to Health Information Management department standards of conduct including attendance, lateness, and dress code policies.
    • Promotes the department by dressing and communicating professionally.
    • Promotes positive internal and external customer relations through prompt and courteous service.
    • Demonstrates strong communication skills and attention to detail.
    • Participates in a variety of department, unit and hospital educational programs to maintain current skill and competency levels.
    • Attends required meetings.
    • Works independently and in a team environment.
    • Open to change and considerable variety in work activities; effortlessly adjusting to new or changing situations and unexpected events; altering one`s approach to tasks and project with minimal loss of efficiency
