Position Summary

Position Duties

  1. Coordinates event planning, logistics and guidance for various assigned annual signature events and beneficiary events
    • Contributes to the recruitment and retention of beneficiary events which are designed to raise visibility and funds for Phoenix Children's Hospital.
    • Collaborates with internal and external resources to develop strategies and timelines for execution and promotion of events to increase awareness, participation and fund raising results.
    • Leads in the coordination and development of event collateral including invitations, sponsorship materials, promotional materials, auction descriptions, brochures, signage, etc.
    • Manages all event planning functions pre-, during and post-event including vendor relationships, liquor licenses, permits, ticket sales, seating, and decor; prepares progress reports as necessary related to attendance, revenue, auction, staffing and other event functions to identify trends.
  2. Management of Event Committees, Contacts & Volunteers
    • Solicits, cultivates, manages, and serves as support to beneficiary event contacts; and volunteer leadership that facilitate and have responsibilities in event planning and execution.
    • Attends meetings and facilitates tours, mission activities, and stewardship related to beneficiary and committee recognition, engagement and retention.
    • Delegates assignments and provides guidance to staff, committees, interns and volunteers that help facilitate or have responsibility in planning or execution at designated events.
  3. Mentoring and Leadership
    • Provides mentoring and leadership to team members and Foundation staff and interns.
    • Serves as a resource related to strategic planning, event conceptualizing and creative execution with a forward thinking, innovation mindset.
  4. Development and Monitoring of Event Budgets and Reporting
    • Develops and monitors event budgets while maintaining a consistent and reliable financial accounting of fund raising event progress, detailing results towards all established quantitative benchmarks.
    • Assists in the annual budgeting process and strategic planning to develop and achieve departmental goals.
    • Ensures all event and constituent records are accurate in Raiser's Edge relative to events, including receipting and acknowledging gifts, record keeping, event documentation, revenue and reporting.
    • Conducts post-event evaluations related to attendance, revenue, auction, staffing and other event functions to identify trends.
  5. Engage in Foundation Activities
    • Work with the Chief Development Officer and Directors for the smooth, effective and strategic operations of the Foundation.
    • Aid the entire Foundation in meeting its strategic and fund raising goals, may include assisting in the implementation of other Foundation initiatives, including major events, donor relations programs, campaign kick-offs and tours.
  6. Performs miscellaneous job related duties as requested.
